gPanel Administration Overview

It’s important to be in control of the data inside and outside of your company and with the gPanel Administration module, you'll be in total control.

Role Manager

The first section in the gPanel Administration module is Role Manager. Roles are "Permission Sets" that should only be given to employees based on the needs of their role in the organization. Every action in gPanel is controlled by a permission within a role. For example, you can create a granular role for your support team whose responsibilities would probably include things like creating new users, managing groups, updating user profile information, and so on. This role would limit their visibility of other features and only allow them to execute their set actions.

gPanel comes with one "Administration Role" by default. This role is labeled as “Admin.” Please note that initially the only user that will be placed in the default "Admin" role is the Google Workspace Super Admin who installed gPanel from the Google Workspace Marketplace. All other users within your domain will automatically be added to the user role. By default, the user role limits their access solely to the gPanel user portal. You can completely manage roles, their permissions, and the members of these roles.

Here's a pro tip! The Role Manager also offers the ability to clone a role which can save time. Cloning roles can save time but sometimes they can cause a headache and you accidentally miss removing a permission that someone shouldn’t have. We recommend building your roles from the ground up. This means only adding permissions that are needed by the user in that role rather than cloning a role and removing permissions to match.

Settings

Second in the gPanel Administration module is Settings. Here you will find a plethora of options to configure gPanel. Let’s go through each of these options.

  • Set gPanel Admin This is where you set the authentication user of gPanel. All actions in gPanel will be authenticated against this user. By default, this is the admin who installed gPanel. This admin can be changed at any time. We recommend this being an “admin service account” so that if your gPanel admin leaves the company, you won’t have to worry about your authentication failing.

  • Index This allows you to manually re-index users, orgs, and groups. While gPanel does this automatically, this feature allows you to manually refresh if needed.

  • IP Intrusion This gives you the option to whitelist or blacklist specific IP addresses that can access gPanel.

  • Secondary Domains This is where you include any secondary domains you own under your primary domain with users you wish to manage in gPanel.

  • Timezone This is where you configure the timezone of your domain.

  • Custom Labeling This feature will allow you to customize the look of the gPanel User Portal.

Domain Service Errors

Next in the gPanel Administration module is Domain Service Errors. From here you can see all of your specific domain error reports. You can filter by a number of different things as well as look at just acknowledged or unacknowledged alerts.

Labs

The Labs section of gPanel Administration is very straight forward. These are what we call “Pre-Gold” functions; settings we’ve put through rigorous Promevo testing but didn’t want to drop on our entire application-base all at once. This is also where we implement new APIs from Google, so gPanel can give you the latest and greatest features.

Anything with this green laboratory vase icon next to it represents these “Pre-Gold” functions. While we here at Promevo feel confident about their use, please turn on at your own risk tolerance.

Logging

Last but not least is Logging. Logging is another very straight forward gPanel Administration section. This section will log everything the admin views and and any actions they take in gPanel. Each log record will include things like:

  • Date and Time of Action

  • Performing User

  • Action

  • Module

  • Target

  • App Log Type

Additionally, you can create filters to narrow the results of logs. Log results can be filtered based on the following:

  • App Log Type

    • All Users

    • Application

    • Calendar

    • Domain

    • Error

    • gPanel Role

    • Group

    • Org Unit

    • Site

    • User

    • Contact

  • Performing User

  • Target User

  • Start Date

  • End Date

  • Module

  • Role Permission

You can apply filters to more easily find specific logs, just select a filter and click Add Filter. If desired, you can add any additional filters, then click Search.

After you have filtered the logs, they can be exported to a Google Spreadsheet. The Google Sheet will be created in the Drive account of the current user logged into gPanel. To start the export of logs, click on Export. You can click on the link in the pop up window to open the Google Sheet.
