What's Changing

Promevo will be adding a new Rules Engine to gPanel Enterprise. This tool will allow admins to program "if this, then that" type automations, triggering different actions and events across their Google Workspace environment and/or other operational systems based on user-selected conditions.  

The Rules Engine will include a variety of triggers and actions, with more being continuously added to the platform. Here are some examples of potential actions the Rules Engine will be able to initiate: 

  • Reset Password
  • Change Password
  • Call Endpoint
  • Change User Timezone
  • Sign Out User
  • Run Policy
  • Set Custom Attributes
  • Add to Group
  • Add to Spaces
  • Add to Shares

Why It’s Important 

The Rules Engine will enhance the automation capabilities available in gPanel to give administrators even more control over their Google Workspace environment as well as other crucial operational tools. 

Imagine a user in your organization suddenly deletes ten sensitive documents over a one-hour time period. You can use the Rules Engine to set up conditions based on potentially malicious activities like this that then trigger immediate administrative actions, such as suspending the user, changing their password, or sending you a notification via email or your preferred messaging tool. 

The Rules Engine can also be used to trigger actions outside of Google Workspace. For example, if a user is suspended in gPanel, the admin can create a condition that then pushes that information to a workflow automation tool like Zapier, which then also removes that user from Slack, Microsoft Office, or similar platforms. 

Here are some additional examples of the many administrative use cases the gPanel Rules Engine will be able to support:  

  • Automatically set up a new user based on custom attributes like role, region, or organizational unit (OU)
  • Assign access roles to users based on their specific OU or group
  • Automatically add a user to a group based on their OU
  • Remotely manage access to externally-shared and/or deleted files based on custom conditions and user status  
  • Remove access roles when a user is removed from a group or user status changes  

The gPanel Rules Engine will open up a new world of precision and control for Google Workspace administrators. It will provide significant time savings, reduces errors, and even enhances security and oversight.
