What's Changing

Promevo has rolled out a new user interface (UI) for gPanel's® Decommissioning tools. With the new UI, this module now has a cleaner, more streamlined appearance that is easier to navigate.

Decommissioning v2 Screenshots

In addition to the visual upgrade, we've also added new decommissioning actions and triggers to gPanel v2, giving Google Workspace admins even more control over their users and company data. 

Trigger Updates

User Suspension
  • New Act Immediately Option: If this option is checked, and the user is both within a decommissioning organization and suspended, the decommissioning policy will trigger immediately. This user suspension can occur within or outside of gPanel.
  • Pause Decom on User Org Change: If this option is checked, and the user is removed from the decommissioning organization, on the next run the user will be put into a “Paused” state.  The decommissioning policy will no longer run on the decommissioned user until an end user manually reenables the decommissioned user.
  • Pause Decom on Unsuspension of User: If this option is checked, and the user is unsuspended, on the next run the user will be put into a “Paused” state.  The decommissioning policy will no longer run on the decommissioned user until an end user manually reenables the decommissioned user.
Org Unit Change
  • New Act Immediately Option: If this option is checked, and the user is within a decommissioning organization, the decommissioning policy will trigger immediately. This user organization change can occur within or outside of gPanel.
    Pause Decomm on User Org Change: If this option is checked, and the user is removed from the decommissioning organization, on the next run the user will be put into a “Paused” state.  The decommissioning policy will no longer run on the decommissioned user until an end user manually reenables the decommissioned user.

New Action Types

  • Remove Forwarding Addresses: This action removes all Gmail forwarding addresses from the decommissioned user.
  • Remove Google Assigned Licenses: This action removes the decommissioned user from all Google assigned licenses. The user will be assigned a Google Cloud Identity license, or a Google Archive license by default, based on the domain's settings.
  • Disable Two Factor: This action disables Two Factor verification for the decommissioned user.

Action Updates

Reset Password
  • Send New Password Via Email: End users are now able to configure the action to send the new password via email when the action completes
  • Provide a Custom Password: End users are now able to provide a specific/ custom password
  • Reset Password After Password Change: End users are now able to configure the action to for a password reset after the password change
Reassign Aliases
  • Assign Alias to Manager: Aliases are now able to be assigned to the decommissioned user’s Manager
Add Delegate
  • Create Delegate for Manager: A Gmail delegate is now able to be created for the decommissioned user’s Manager

Decommissioning Logs View

  • Error Message Column: This column is now displayed by default.  If a decommissioning action fails, this column will try to provide a user friendly message on what triggered the failure.

Why It’s Important 

One of the most common requests we receive from current gPanel users is to improve the platform's user experience and to make it easier to find and take certain actions.

The V2 UI will not only enhance user experience but also allow us to build more modern-looking features into gPanel as well as make the application faster, more responsive, and include new levels of functionality we weren't previously able to provide.

Further, the new decommissioning actions give Google Workspace administrators even more control over their decommissioning workflows, so they can more effectively manage users and secure their data.
