The Google Workspace Onboarding Checklist

Last week, Promevo hosted two transformative Gen AI @ Work workshops in Texas, co-hosted with Google Workspace. We were also joined by strategic partners QREW Technologies and JumpCloud and our client Trimble.
Held on November 12 in Dallas and November 13 in Austin, these half-day events brought business and IT leaders together to explore the power of generative AI (Gen AI), particularly Google’s Gemini, and related tools like AppSheet and JumpCloud’s open directory platform.
The workshops delivered a dynamic mix of expert-led sessions, hands-on learning opportunities, and interactive activities. Here’s a look back at the key highlights.

The first session of the day, “The Executive’s Guide to AI in Business,” featured insights from Colin McCarthy, Change Management Leader at Promevo, and John Pettit, Promevo’s CTO. Together, they addressed how organizations can effectively adopt AI technologies, overcome implementation challenges, and maximize ROI.
Topics ranged from AI prompting best practices to managing the risks of BYOAI (Bring Your Own AI) or “shadow AI.” Colin and John also shared Promevo’s structured approach to Gemini adoption, including their four-week Gemini Pilot and Deployment workshops.

In the second session, Aaron Gutierrez, Promevo’s Practice Director of Data Engineering and Analytics, demonstrated how Gemini simplifies tasks like chatbot creation and data management.
One standout moment was Aaron’s live demo, showcasing how to use an AI chatbot as a “search engine” to more efficiently manage and search your company’s data. His example involved communicating with the chat bot to identify the ideal team member to work with a client in a specific industry, underscoring how AI can transform workflows.

One of the most engaging sessions was “Whose Prompt Is It Anyway?” led by Colin McCarthy and Customer Engineer Mark Baquirin.
Modeled after the improvisational TV show Whose Line Is It Anyway?, this session was a hit among attendees. Participants learned AI prompting best practices while collaborating with Gemini to create fictional branding materials, project plans, and budgets. The session blended education with humor, earning rave reviews from participants.

The second half of each day varied between Dallas and Austin, spotlighting the expertise of Promevo’s strategic partners.
JumpCloud presented how its open directory platform strengthens organizational security, particularly in the modern AI era.
QREW Technologies showcased how AppSheet, Google’s no-code/low-code app development tool, becomes even more accessible with Gemini integration.
JumpCloud joined us again in Austin to discuss identity, access, and device management and provide another demonstration of their open directory platform.
Attendees in Austin were also treated to a session with Tony Albano, AI Ambassador at Google Workspace, who explored how Gemini can enhance operations across departments like marketing, HR, and finance. Tony also shared sample prompts tailored to these use cases.
Pictured: John Pettit with Frej Krook and Liz Mitchell of Trimble during the Fireside Chat in Dallas, TX.
A standout feature of both workshops was the fireside chat with representatives from Trimble, a global technology leader in the construction, transportation, and geospatial verticals.
Frej Krook, Collaboration Community Manager for Employee Tools, and Elizabeth (Liz) Mitchell, IS Google Workspace Communication Specialist, provided a firsthand account of deploying Gemini and generative AI at Trimble. They shared actionable strategies for training and empowering users to embrace AI, offering invaluable insights for attendees.

The Dallas and Austin workshops both included an “Ask the Expert” table where attendees engaged 1-on-1 with Promevo’s team to discuss their unique AI journeys. Each session also concluded with a lively happy hour and networking session, fostering collaboration and sparking new partnerships.
Our Gen AI @ Work workshops showcased the transformative potential of AI tools like Gemini and reaffirmed Promevo’s commitment to empowering businesses with cutting-edge solutions. These events not only educated but also inspired attendees to lead their organizations into the future of work.
