As their Google Workspace environment grew in scale and complexity, Trimble realized they needed a collaborator who could not only support day-to-day administrative needs but also help them unlock the full potential of their digital tools through custom development and training.
This search led them to Promevo. What began as a Google Workspace migration and a custom development project quickly evolved into a close, collaborative relationship built on shared values and a spirit of innovation.
Trimble’s Google Workspace environment was rapidly expanding, and with it came new challenges. They needed a collaborator who could tackle complex projects, drive custom development, and provide strategic AI adoption support.
At the same time, they were beginning to reevaluate how they managed administrative access and security across their environment — especially in the context of frequent mergers, acquisitions, and divestitures.
As Frej Krook, Google Workspace Platform Manager, put it, “We like to work with people just as we work with Google, where it’s a give and take, where it’s symbiotic and both sides can benefit.”
The relationship between Trimble and Promevo took root at Google Cloud Next 2024, where Frej was first introduced to the Promevo team.
Frej enlisted Promevo to help his team with two different projects. The first was a Google Workspace migration during a corporate divestiture. Promevo helped them manage the transition, seamlessly moving affected users out of Trimble’s environment with minimal disruption. The success of this project laid the groundwork for what would become a highly collaborative relationship.
The second project Frej initiated was the development of a custom Google Meet cost estimator plugin. Developed in partnership with Promevo’s Principal Cloud Solutions Architect, Justin Barone, the plugin integrates with Google Calendar and estimates the “cost” of a meeting based on attendee roles and headcount, raising awareness about the value of each meeting and fostering a culture of thoughtful collaboration.
Both of these early projects were a success, which inspired Trimble to also enlist Promevo to support their organization-wide deployment of Gemini for Google Workspace.
Liz Mitchell, Google Workspace Communications & Training Lead for Trimble, led the development of the training curriculum and support resources, leveraging her deep understanding of Trimble’s teams and workflows to ensure relevance and clarity. Promevo then partnered with her team to deliver the training at scale, facilitating hands-on demos, live sessions, and outreach to hundreds of employees.
“We worked closely with Liz to support her vision and bring her plan to life at scale,” explained Colin McCarthy, Director of Digital Transformation at Promevo.
Around the same time, Trimble began exploring how Promevo’s proprietary gPanel platform could enhance their Google Workspace administration. At the time, roughly 35 users in their environment held Super Admin privileges, which posed a growing security risk. gPanel’s more granular roles offered the opportunity to delegate routine tasks without granting full admin access.
Today, Trimble is still in the early stages of gPanel adoption. But the platform has already started to surface meaningful insights — exposing inefficiencies in their current workflows, revealing gaps in visibility and access management, and helping facilitate more strategic conversations around data governance and security.
For example, Trimble recently ended a 30-year relationship with an external accounting firm, prompting a company-wide audit to identify and revoke that firm’s access to shared files and drives. While they chose to use GAM scripts to handle the most sensitive removals, they leaned on gPanel to verify their work, running reports to ensure nothing was missed and gaining confidence in their cleanup efforts.

The relationship between Trimble and Promevo has already yielded meaningful results.
Thanks to the thoughtful Gemini rollout plan developed by Liz and supported by Promevo, more than 8,900 Trimble employees — nearly 80% of the company — are now using Gemini to boost productivity, streamline communication, and explore new ways of working.
Trimble’s administrative practices are also evolving in promising new ways. With gPanel, they’ve started to reduce the number of Super Admins and are exploring how delegated roles and improved reporting can strengthen access control moving forward.
“It’s not just about the tools — it’s about the dialogue those tools enable,” said Frej. “gPanel is helping us uncover what we need to work on, and Promevo has been a trusted collaborator every step of the way.”
Meanwhile, the Google Meet cost estimator has made a cultural impact of its own. Since implementation, Trimble has seen reduced average meeting times and leaner attendee lists — a subtle but important shift in how teams value time and collaboration.
Today, Trimble and Promevo continue to collaborate closely, working on an updated version of the Google Meet cost calculator plugin and exploring new ways to leverage AI and Google Workspace automation. This ongoing relationship is a testament to what’s possible when two organizations share a commitment to innovation, collaboration, and continuous improvement.
